College Counseling Associate

Position Description:

The College Counseling Associate provides support and resources to counselors, students, parents and Hockaday employees. This position also serves as the School’s MaiaLearning information specialist, PSAT Coordinator, AP Coordinator and assists students with the preparation of college applications.

Hockaday offers a comprehensive college counseling program that supports students throughout their Upper School careers. The program begins with a series of gatherings with Form I and II parents, designed to share relevant college‐related information and an overview of the current college admission landscape. The program progresses to highly personalized discussions with Form III and IV students, including individual meetings and small‐group workshops on topics related to the college research and application process. One of the cornerstones of Hockaday’s college counseling program is valuing the individuality and interests of each student as they move through the college process. The college counseling team is student‐centered and committed to guiding students at every stage as they seek to identify colleges that will support and further their personal aspirations.

 

Essential Functions:

  • Support college counselors on day-to-day office needs. This includes answering college counseling questions via phone, email, and interacting with office visitors.
  • Act as a College Counseling representative when counselors are unavailable, offering college counseling expertise answering specific questions.
  • Serve as a Hockaday representative to approximately 200 visiting college admission representatives. Schedule college representatives to visit Hockaday using online program. 
  • Process school credentials for student college applications while maintaining strict confidentiality and adhering to deadline dates.
  • Update MaiaLearning system with GPAs, test scores, colleges on an ongoing basis. Keep student and parent information updated to reflect changes.
  • Conduct individual meetings with students to develop their college resume and activity list for applications.
  • Assist with implementation of annual college fair in conjunction with partner schools.
  • Visit college and university campuses as much as possible.
  • Participate in professional organizations regionally and nationally.
  • Act as the AP Coordinator and manage the AP testing process in its entirety.
  • Act as the PSAT Coordinator and manage the testing process in its entirety.
  • Maintain scholarship, summer programs, and student college “Fly-in” databases.
  • Create content and maintain college counseling social media accounts.
  • Oversee the purchase/maintenance/service of all office equipment and supplies.
  • Maintain record of department expenditures and reconcile monthly credit card statement.
  • Event management with coordination of Facilities, AV and dining hall requests.
  • Act as an Advisor to 10+ students meeting daily, liaison between student and faculty, advise on course selections.
  • Ability to create Microsoft forms, etc., to simplify information collection.
  • Projects as assigned and willingness to accept new responsibilities and challenges.
  • Work well with diverse groups of people and manage positive relationships.
  • Other duties as assigned

 

Qualifications/Experience:

  • A bachelor’s degree
  • Experience with MaiaLearning or similar college and career readiness platform
  • Strong interpersonal and organizational skills
  • Ability to efficiently manage complex and detailed processes
  • Ability to deal courteously with parents, students, college representatives, faculty and staff.
  • Excellent oral and written communicator
  • Ability to respect the confidentiality of the work of the college counseling office
  • Participation in occasional weekend and evening programs is expected
  • Must have the ability to work in a school environment through satisfactory completion of all legally required and School-required background and screening checks and verifications, including criminal and sex offender background checks.

 

Training:

  • Participate in all requisite School trainings prior to the start of the school, and throughout the School year. 
  • Attend required staff development and training sessions throughout the year
  • Attend periodic in-service meetings
  • Acknowledge receipt of the current Employee Handbook and are responsible for reviewing the contents and abiding by rules, policies and procedures stated in the Handbook or otherwise by the School
  • Abide by Hockaday’s Code of Ethics and Conduct
  • Commit to the ideals expressed in Hockaday’s Tenets of Staff/Faculty Excellence

 

Physical Requirements and Work Environment:

  • Regularly works in standard office conditions and climate
  • Regularly uses close and distance vision, including working at a computer screen for extended periods of time
  • Regularly moves around the office and campus; works at a desk for extended periods of time
  • Ability to occasionally move items weighing up to 30 lbs. across the campus or office
  • Works in a highly stressful environment, effectively dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts with stamina to maintain attention to detail despite interruptions
  • Ability to occasionally work flexible hours to support before and after-school or weekend events
  • Ability to maintain appropriate boundaries with students, fellow staff and community members
